The challenge

For this made-to-order manufacturer, every new job arrived with an administrative burden.

Orders came through email and multiple customer portals. Experienced staff had to read each request, interpret the requirements and fill in the gaps using their knowledge of individual customers.

That took approximately eight minutes of administration per job, before production began.

Managers then spent the day tracking progress and moving work between technicians to meet promised delivery dates. New staff faced a steep learning curve, mistakes were difficult to trace, and lengthy customer payment terms restricted the money available to improve the business.

Use AI to interpret incoming requests, make job requirements explicit, and connect intake, production and payment in one digital platform.

What we built

An integrated platform that:

  1. Reads incoming job emails and checks connected order portals several times an hour.
  2. Uses AI and the business’s own rules and customer knowledge to create jobs automatically.
  3. Gives technicians tablet-based access to assigned work and job instructions.
  4. Routes jobs through the team, reducing the need for constant manual coordination.
  5. Gives customers a portal to submit jobs, check progress, track shipments, view invoices and pay by credit card.

What changed

The business reduced hours of daily administration across job creation and production coordination.

Technicians gained clearer instructions. Managers spent less time chasing work. Customers could find updates and manage payments through a single portal.

Automated credit-card payments also helped shorten payment cycles and reduce collection administration.
